FoxVendor Support

Help with installing, configuring and running FoxVendor as a multi-vendor marketplace on your Shopify store.

Contact us

Email support@oothemes.com. We reply to every message and aim to send a first response within one business day, Monday to Friday. Support is handled by email only — we do not run a phone line, live chat or a public status page, so email is the fastest route and the one we monitor.

For a suspected security issue, email the same address with "Security" in the subject line and please do not post the details publicly until we have replied.

What to include in a report

The more of this you send in the first message, the more likely we can fix it without a round trip:

Please do not email passwords, API keys or access tokens. If we need to check a credential we will ask you to confirm only its last four characters, which is all the app's settings screens display anyway.

Frequently asked questions

How do sellers sign in?

Sellers use the marketplace's own portal at /vendor/login, with the email address and password they chose when applying at /vendor/apply. They are not Shopify staff and do not need a Shopify account or an invitation to the store's admin.

Staff accounts a seller invites use the same sign-in form. They land in the same portal, scoped to that seller, and can only reach the areas the seller granted them: products, orders, payouts, messages, coupons, shipping, returns or reviews.

A seller signed up but cannot sign in. Why?

A new application is created with the status pending, and pending accounts cannot sign in. Sign-in returns "Your vendor account isn't active yet" until the store operator approves the seller in the app's Vendors screen. A seller who has been suspended sees the same message. This is intentional: it stops anyone who fills in the public signup form from listing products in your store.

If you would rather skip the review step, turn on auto-approve vendor applications in the app's settings and new sellers become active immediately.

A different message, "Too many login attempts", means the rate limit kicked in — sign-in allows five attempts per minute per IP address. Waiting a minute clears it.

Why is a seller's balance not payable yet?

Earnings are held before they become payable, so money is not sent out and then clawed back when a buyer returns an item. An earning becomes part of the available balance once the hold has passed; the default hold is 15 days, matching a typical return window, and the operator can change it.

Payouts then run on a fixed day each month — the 1st by default — and only for sellers whose available balance has reached the minimum, which defaults to 5,000 minor units of the currency (50.00 where the currency has two decimal places). A refund creates a reversing entry against the seller's balance, which is what the hold protects against.

This is also why auto-payout on fulfillment often pays nothing at the moment an order ships: the earning usually has not matured yet. It is not skipped, it is paid on a later run once the hold clears.

What happens if Stripe, PayPal, EasyPost, email or AI are not configured?

All of them are optional and each is switched on by entering credentials in the app's settings. When credentials are missing the feature reports that it is not configured rather than failing:

  • Stripe or PayPal not configured — payouts stay in manual mode. The app still records the payout and the ledger stays correct; the operator sends the money out of band and marks it paid.
  • EasyPost not configured — buying a label is unavailable and the screen says so. The same applies when the key is set but the origin address is incomplete, which is deliberate: the app will not ship from a guessed address.
  • No mail server — notification email is skipped and logged instead of sent, so nothing crashes. One case needs attention: Shopify customer data requests are delivered by email, so without a mail server the app logs that the operator must forward the shopper's data another way, within the 30 days Shopify allows.
  • No AI key — the writing-assistant buttons return "AI is not configured". Everything else in the product editor works normally.

Where is commission set?

The marketplace default is 15%, and each seller can be given their own rate on their vendor page. Commission is calculated when an order is split, so changing a rate affects future orders and leaves settled ones alone.

Privacy and data requests

Our privacy policy sets out what the app stores, which optional services it can send data to, and how data is deleted when the app is uninstalled. Data access and deletion requests go to support@oothemes.com.
